Evidian File Encryption

File Encryption is one of the optional Evidian Data Privacy components. It makes it easy to secure the sensitive information that is exchanged as part of collaborative work.

  • It allows workers to encrypt sensitive data, then share or transfer it between members of a project, a workgroup, or a business process
  • It makes it simple to encrypt and decrypt sensitive data. Users easily import and use keys prepared by administrators
  • All encryption and decryption operations are made using right-click menus, for instance from Windows Explorer.
  • The user can select multiple files or folders. After selecting one or several files or folders, the right-click menu lists encryption operations. The user then chooses a key and performs encryption or decryption operations.

Automatic encryption

Evidian File Encryption allows end users to define auto-encryption folders. A dedicated encryption key is associated with each auto-encryption folder. When one or several files are copied or saved into an auto-encryption folder, these files are automatically encrypted. Auto-encryption folders are identified with a special icon in Windows Explorer.

Multiple auto-encryption folders can be defined. Thus, if you want to transfer documents to multiple work teams, you can associate a dedicated key to each work team. When files are dragged or copied into a removable storage media, each file is automatically encrypted.

This feature prevents theft of data using removable storage media.

Share keys with internal collaborators

Internal sharing diagram
Once an employee has encrypted a sensitive file, he or she can send this file to a co-worker (e.g. by email, Skype, Microsoft Live Messenger). To decrypt the received file, the co-worker must share a secret key with the sender.

Self-decryption for external co-workers

Automatic encryption diagram
When employees want to send encrypted files to work teams outside their company, they just need to send a self-decryption file. This file is protected by a password.

Administration

Administrators use Evidian File Encryption to create, revoke, and distribute keys used for encryption and decryption.

Key benefits

Safer encryption process
Unlike most rival solutions, Evidian File Encryption implements its security mechanisms in the file system, not in the BIOS. As a result, the recovery functions are more user-friendly, since you don't need to encrypt the entire hard disk in order to secure the most sensitive data. Also, in case of an operating system crash, most files can be recovered.

Easier information exchange
With most encryption solutions external correspondents need to own the full product to read encrypted files. In contrast, Evidian File Encryption includes a free decryption runtime, simplifying deployment both inside and outside the enterprise.

Focus on performance
Wanting to protect your critical documents is normal, but why encrypt Microsoft Office itself? Evidian File Encryption allows you to focus on your documents intelligently and does not encrypt program and system files, thereby improving performance.

White paper: Data privacy

As workforces get increasingly mobile and data-transfer technologies make corporate data ever more accessible, the risk of data loss or theft and of illegal access to sensitive information exists:

  • When a person copies files containing your product specifications, financial transactions or price lists to a simple USB key
  • When a sales manager downloads from his or her hotel the latest presentation of your company strategy
  • When a sub-contractor obtains from a web meeting the latest R&D plans for a sensitive project
  • When a doctor copies a patient’s healthcare information to his or her mobile workstation via a Wi-Fi connection

In all cases, the real cost is the value of the lost information. This cost can be very high if this sensitive data ends up with a competitor.

This white paper describes the main features of the Evidian Laptop Protection and File Encryption products.
